Privacy Policy

Effective date: 20 Oct 2025 · Controller: Pro Assure Limited · Product: Deal Management Pro

Pro Assure Limited ("we", "us", "our") respects your privacy and is committed to protecting the personal information you share with us when you use Deal Management Pro (the "Service") offered through the Microsoft commercial marketplace ("Marketplace"). This Privacy Policy explains what information we collect, how we use it, with whom we share it, and the choices you have.

1. Scope

This policy applies to information collected through the Service, our website at pro-assure.com, support channels, and communications related to the Service. It does not cover data processed solely by Microsoft on behalf of you under separate Microsoft agreements; see the Marketplace documentation for Microsoft’s privacy practices.

2. Information we collect

We may collect the following categories of information:

  • Account and contact information: name, business email, company name, job title, phone number, billing address.
  • Authentication and usage data: usernames, hashed passwords, login timestamps, session identifiers, IP addresses, device and browser metadata, usage metrics and logs.
  • Customer content: data you or your users upload or transmit to the Service (may include documents, configuration, telemetry, or other files).
  • Payment and billing: billing records and transaction metadata. (Microsoft may handle payment processing per Marketplace terms.)
  • Support and communications: emails, chat transcripts, and diagnostic information provided when you contact support.
  • Aggregated and anonymized data: analytics derived from service usage that does not identify individuals.

3. How we use your information

We use collected information for purposes including:

  • Providing, operating, maintaining and improving the Service;
  • Managing accounts, subscriptions, billing, and Marketplace provisioning;
  • Responding to support requests and communicating service notices;
  • Analyzing and improving product features and performance;
  • Detecting, preventing and addressing security incidents, abuse, or fraud;
  • Complying with legal obligations and enforcing our rights.

4. Legal bases for processing (EEA/UK)

If you are located in the European Economic Area, the UK, or other jurisdictions requiring a legal basis, we rely on one or more of the following:

  • Performance of a contract (to provide the Service and fulfill Marketplace orders);
  • Legitimate interests (service security, fraud prevention, product improvement — balanced against your rights);
  • Consent (for optional features such as marketing communications); and
  • Legal compliance (to satisfy legal obligations).

5. Sharing and disclosure

We may share your information with:

  • Microsoft: as required by Marketplace operations, billing, and provisioning; Microsoft may also receive certain telemetry and billing data per Marketplace agreements.
  • Service providers: vendors who perform services on our behalf (hosting, analytics, support, payment processors) subject to confidentiality and security obligations.
  • Affiliates and successors: in connection with mergers, acquisitions, or corporate restructuring.
  • Legal and safety: when required by law, court order, or to protect rights, safety, or property.

6. Data processed on behalf of customers

When we process Customer Content on behalf of our customers, we act as a data processor (or service provider) and follow the instructions of the customer. In such cases, customers remain responsible for complying with applicable data protection obligations and for ensuring they have lawful bases for processing Personal Data. A Data Processing Addendum (DPA) is available on request or via the Marketplace offer. Contact us at {{SUPPORT_EMAIL}} to obtain a DPA.

7. International transfers

Data we collect may be stored and processed in countries other than your country of residence. When transferring Personal Data from the EEA/UK or other jurisdictions with data transfer restrictions, we implement appropriate safeguards such as standard contractual clauses or rely on adequacy decisions where applicable.

8. Data retention

We retain personal data as long as necessary to provide the Service, fulfill contractual obligations, resolve disputes, comply with legal requirements, and for the purposes described in this policy. Retention periods vary by data type; contact us for details.

9. Security

We implement administrative, technical, and physical safeguards designed to protect Personal Data from unauthorized access, disclosure, alteration, and destruction. These measures include access controls, encryption in transit, logging, and vulnerability management. However, no security system is impenetrable — report suspected incidents to {{SUPPORT_EMAIL}}.

10. Your rights and choices

Depending on your jurisdiction, you may have rights including:

  • Access, correction, or deletion of Personal Data;
  • Restriction or objection to processing;
  • Data portability;
  • Withdrawing consent (where processing is based on consent); and
  • Opting out of marketing communications.

To exercise rights, contact us at consultant@pro-assure.com. We may require verification before fulfilling requests.

11. Cookies and tracking

We and our service providers use cookies and similar technologies to provide and analyze the Service and our website. You can manage cookie preferences via your browser settings or any cookie management tool we provide.

12. Children

The Service is not intended for children under the age of 16 (or a higher age as required by local law). We do not knowingly collect Personal Data from children without parental consent. If we learn we have collected data from a child improperly, we will take steps to delete it.

13. Third-party links

The Service may contain links to third-party websites and services. We are not responsible for the privacy practices of those third parties; review their policies before providing Personal Data.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy with a new effective date and — where required by law — provide notice.

Notice: This template is provided for convenience and general guidance only. It does not constitute legal advice. Consult legal counsel to adapt this policy to your product, jurisdiction, and commercial arrangements (including Marketplace and data processing agreements with Microsoft).
